February 1 to January 31

NEWSLETTER
You will receive a semi-monthly newsletter full of information on what is happening in our area. We encourage all members to submit ideas and/or articles to the newsletter.

SCHOLARSHIP
GCSANC offers scholarships to qualified applicants. Applications are mailed to membership and can be obtained from the Scholarship Committee.

JOB NOTICES
GCSANC provides a service to clubs and companies wishing to announce positions open. A “job email or fax” is circulated to Class A, B, Associate, Affiliate and Student members. There is a charge for the service.

EQUIPMENT FOR SALE
Golf course equipment may be offered for sale in the monthly newsletter “Thru the Green” free for members. The Association makes no representation regarding equipment.

ACCOUNTS RECEIVABLE
In order to assure the Association does not have to carry receivables for extended periods, there will be a 90-day limit on outstanding receivables. All balances more than 30 days will receive a late fee of $25.00. If a meeting fee, advertising placement, sponsorship or any other fee is outstanding for more than 90 days, the member whose account is in arrears will be required to clear this fee up prior to being able to attend another meeting. Any monies owed to the Association at the time of renewal must be paid in order for a member’s renewal to be completed.

GCSAA
If you are not already a member of the Golf Course Superintendents Association of America, we recommend that you consider joining. The benefits are significant and we feel every superintendent will benefit his/her career by joining GCSAA. As of July 1, 1997, GCSANC requires dual membership for all Class A and Superintendent
Members.

MEMBERSHIP
GCSANC membership is non-transferable. All memberships are personal individual memberships. Anyone attending meetings who is not listed as a current member of GCSANC will be required to pay guest fees and needs to be accompanied by a GCSANC member. The GCSANC member is responsible for the guest fees.

STUDENT MEMBERS
The association offers a student classification. Each Scholarship Recipient is granted a courtesy membership as long as they remain a student. This extends to the last year as a student. The membership may be transferred to another classification within the association without the need for reapplication. Current fees for the news classification will be assessed.

MEMBERSHIP DIRECTORY
Each year GCSANC publishes a directory of the Association membership. New members receive a copy of this directory. Each year thereafter, you will receive an updated directory.

MEMBERSHIP CARD
Membership Cards are no longer issued by GCSANC. It is the policy of GCSANC that all new members are subject to a thirty-day waiting period after application for membership to the association. The Association encourages active participation of all new members.

USE OF MEMBERSHIP
Many member assume their membership gives automatic access to any golf course in the country. This is not the case. Some courses offer professional courtesies to superintendents. Some do not. We ask that you use courtesy and professionalism when playing golf at another superintendent’s course. The proper procedure follows:
Call the superintendent. Let him/her make the arrangements, if he/she prefers. Ask the superintendent about comp privileges at the course.

He/she will inform you of whether his/her course comps golf for members. Never show up at a course without a pre- arranged tee time and expect to use your membership to get on the course.

RECLASSIFICATION
The membership classifications are listed in the bylaws in the back of your directory. If you feel your classification should be changed, please contact the office for an application. Reclassification requires a new application and there is no fee or charge nor are attestor signatures required.

MEMBERSHIP RENEWALS
Renewal notices are sent out around the first of November. Renewals are due by December 31. Renewals not received by December 31 are assessed a late fee of $20. Any membership not renewed by January 31 is automatically rescinded. Applications are required to reinstate membership. Payment of initiation fees is required to reinstate after January 31. Any outstanding bills will be billed with your renewal, and must be paid with your renewal fees in order to complete your renewal.

DIRECTORY UPDATES
At the time your membership renews, in addition to your renewal, you will be asked to update information regarding your addresses, phone numbers, work, status with the Association, etc. Information from the prior year will be used unless a you update at membership renewal.

OFFICERS AND BOARD OF DIRECTORS
The officers of the association are President, Vice President, and Secretary Treasurer. There are four directors serving a two-year term. The immediate Past President serves for an additional year as a member of the board. There are two Affiliate liaisons to the board of directors serving a two-year term. An Assistant Superintendent Director serves a one year as a voting director also. Annual elections are held in January to select a President, Vice President, & Secretary Treasurer. Each year one Affiliate liaison is elected by the Affiliate members to serve a two-year term. This position is responsible for providing the Board with insight on the needs and concerns of the Affiliate members. The Affiliate members are responsible for the Annual Scholarship Research & Education Tournament.
Board Directors and officers should contact the association office regarding leadership material provided by GCSAA to new board members.

MEETINGS
Generally, the monthly meeting agenda includes a period during registration at which you can meet and socialize with colleagues in the industry. The meeting starts with a general business meeting to update you on the status of the different committees in the organization (these are listed in your directory, along with the name of the chairperson), the association finances, and a forum to voice your opinions or ideas. This is followed by an education session that runs for approximately an hour. Education covers a myriad of topics from environment to water to management, and much more.
As the meetings are most often held in the mornings, lunch and a golf tournament follow the meeting portion in the afternoon. Golf is not mandatory; however you must attend the program in order to play golf.

Your meeting fee covers the cost of lunch, golf (if you choose to play), and administrative costs directly related to the meeting. As we are generally at country clubs, the price we are charged for food is usually higher than we would pay at a restaurant.

RESERVATION POLICY
A registration notice is sent to the members approximately three weeks before each monthly meeting. It will tell you the meeting location, the education topic, the agenda, the cost and whether there will be a golf tournament. Registration for the meeting begins of your meeting reservation form and appropriate monies. We establish a cut-off date or registration deadline as a courtesy to the host superintendent to give his staff time to prepare for the meeting. In addition, we may be required to “guarantee” a certain number of meals and golf. We pay for this guaranteed number regardless of how many show up. You will be responsible for reservations if cancellations are not received by the cancellation date noted on the meeting notice. Board members are requested to wear board jacket and tie to these meetings.

MAIL, TELEPHONE or ONLINE RESERVATIONS
We request you mail, fax or register online (http://www.gcsanc.com) in advance of the meeting. All reservations are subject to the reservation deadline on the meeting notice deadline.

CANCELLATION POLICY
If you have made reservations for an upcoming meeting and cannot attend, please call and cancel by the cancellation date noted on the meeting registration form. Your fees will be refunded in full if you cancel by the appropriate date. Anyone not canceling their registration forfeits their entire fee.

COURTESY
As guests of the host club, it is very important that players show care and respect for the golf course. This includes raking bunkers, fixing ball marks, replacing divots and observing golf cart rules. Additionally, players are asked to wear appropriate attire (see Meeting Attire). If there are specific dress restrictions at any club, we will notify you in the meeting notice.

REGISTRATION
On the day of the meeting, a registration table is set up for check-in. Please check in at the registration table FIRST. In order to get an accurate count for the club, we must know how many attend. Don’t assume that because you mailed your reservation, you don’t need to check in. You do! The next step is to check in with the Golf Chairman for pairing and tee assignments. You must check in with the Golf Chairman within 30 minutes after registration closed in order to play in the tournament. After that time, we will make every effort to get you on the course, but we cannot guarantee that you will be included in the tournament.
If you wish to play in a particular twosome or foursome, please be sure to include that information on your reservation form. Sometimes, because of the tournament format, we will not be able to accommodate your request; however we will do so whenever it is possible.

MEETING ATTIRE
Appropriate attire is requested for all meetings. As we are the guests of the club that is hosting the meeting, it is important for us to display a professional, courteous image. Therefore, the Association requests that you do NOT wear cut-offs or jeans, tank tops or flip-flop sandals. The most appropriate attire is a collared shirt (golf shirt) and slacks or Bermuda shorts. If there are special requirements for dress at any of the clubs that we attend, you will be notified in the meeting notice.

BOARD OF DIRECTORS MEETINGS
Each office or director is provided with a “Board Jacket”. We ask each of you to wear these and a tie at appropriate times:
(1). The Board of Directors meetings hosted at member clubhouse or company member facility.
(2). Association monthly and educational meetings.
(3). Any other time when your professional image would make you want to wear your jacket and tie.

ETIQUETTE
There should be no talking during the general meeting and especially the Educational portion of the meeting. Again, we want to portray a professional image and the utmost courtesy to those persons who are sharing their expertise with us. If you feel you need to conduct business or socialize, please leave the room so as not to disrupt the speaker or those who wish to participate in the education.

GUESTS
You may bring one guest to our regular monthly meetings. Members are often encouraged to bring additional guest. If the meeting invites additional guests, we will provide that information in the meeting notice. Any member registering a guest for a monthly meeting is responsible for that guest’s full meeting registration if the guest does not show and fails to cancel in advance. Please be sure your guests will be attending the meeting to avoid costs.

SIGNIFICANT MEETING DATES

March NCGA USGA Joint Meeting

June/July Superintendent Professional Tournament

Each superintendent invites his club professional to play in a tournament against other clubs superintendent-pro teams. It is a friendly competition between the clubs and a great way to socialize with your club professional, your peers and to show off your industry.

September Superintendents Institute: SNGCSA – GCSANC Joint Meeting

October: Assistant Superintendent Boot Camp

November: California GCSA Meeting

December:  Regional Holiday Gatherings, Informal meetings in various locations.

ANNUAL SCHOLARSHIP
RESEARCH & EDUCATION TOURNAMENT
This Affiliate member sponsored tournament held to benefit our Scholarship Research & Education Fund Foursomes competes for prizes and all proceeds go to the
S R& E Fund.

MONTHLY GOLF TOURNAMENT
In conjunction with the monthly general meeting, we will generally hold a golf tournament after the meeting concludes. Anyone wishing to play in the monthly tournament is welcome to do so; this includes guests. We do, however, have a requirement that you must attend the meeting in order to play in the tournament. You must check in with the Golf Chairman by the time the meeting starts in order to play in the tournament. After that time, we will make every effort to get you on the course, but we cannot guarantee that you will be included in the tournament.

PAIRING FOR GOLF
If you wish to be paired with a specific person or persons, please note this on your registration form. Otherwise, you will be paired at the discretion of the Golf Committee according to your index. If you are requesting specific pairing, please be sure to check with the person you want to be paired with to be sure they will be attending the meeting. Pairing requests will only be honored if both parties are registered in advance, and the specific format of a tournament allows pairings.

SCORING
Tournament scorecards are the official records of play. They must be filled out completely and legibly. They must be signed by the scorer and attested by another member of the group. Be sure you turn your scorecard in to the Tournament Committee at the completion of play.

WINNERS/CLAIMING PRIZES
The winners of each tournament will be announced in the next newsletter. The Tournament Chairman awards prizes after the tournament.

GOLF INDEXES (NCGA Handicapping system)
We strongly urge you to have an established NCGA index. There will be a place on the entry form to include your NCGA number. Those who wish to play in the tournaments that do not have an index will be accommodated as the tournament format allows. You may contact the office to establish a NCGA index through GCSANC as a part of your membership privileges.

NCGA INTERN PROGRAM
GCSANC supports the NCGA intern program by providing a courtesy membership in the association to NCGA interns. You can obtain more information about the program from the NCGA Mike McCullough PO BOX NCGA, Pebble Beach Ca 93953 831-625-4653.
